What to include on an invoice
Clients pay complete, clear invoices faster. Whatever you sell, check that every invoice covers these eight things before it goes out.
- 1
The word "Invoice" and a unique number
A sequential number such as INV-0001 makes each invoice easy to find when a client pays or asks a question.
- 2
Your business details
Business name, address, email, and phone. Add a tax or registration number if your country requires one on invoices.
- 3
Your client's details
The name and billing address of the person or company paying, as they want it on their records.
- 4
Issue date and due date
The date you sent the invoice and the date payment is due. Without a due date, many clients treat an invoice as low priority.
- 5
An itemized list of the work
One line per service or product, with quantity, rate, and amount. Clients question a single lump sum far more often than itemized lines.
- 6
Subtotal, tax, and total
Show tax as its own line and apply it only to taxable items. Many US states tax goods but not labor, so check your local rules.
- 7
Payment terms
State terms such as due on receipt or net 30, plus any late fee policy you have agreed with the client.
- 8
How to pay
Bank details, accepted payment methods, or a pay-online link. The fewer steps it takes to pay, the sooner the money arrives.

Invoice template FAQ
Are these invoice templates free?
Yes. The Word, Excel, and PDF files are free to download and reuse, and the Google Docs and Google Sheets versions are free to copy. No signup and no email address needed.
Which invoice template format should I choose?
Pick Word or Google Docs if you like editing a document and don't mind typing your own totals. Pick Excel or Google Sheets if you want the line amounts, tax, and total calculated for you. Pick the PDF if you write invoices by hand. If you would rather type an invoice in your browser and download a finished PDF, use the free invoice generator.
Do I need Microsoft Office to use them?
You need an app that opens .docx files for the Word template and .xlsx files for the Excel template, such as Microsoft Word and Excel. The Google Docs and Google Sheets versions need a Google account instead. The PDF template only needs a PDF reader and a printer, and the invoice generator only needs a web browser.
What should every invoice include?
Your business details, the client's details, a unique invoice number, the issue and due dates, an itemized list of the work, the subtotal, tax, and total, your payment terms, and how to pay. The checklist on this page explains each one.
When does invoicing software make more sense than a template?
Once you send more than a few invoices a month, retyping client details and tracking who has paid takes real time. SolidInvoice keeps your clients, numbers each invoice, adds a pay link for card and PayPal, and marks invoices paid when the money arrives. Plans start at $9 a month with a 14-day free trial.
