    Where quoting goes wrong today

Retyping an approved quote into an invoice line by line invites a wrong price or a missing item. In SolidInvoice the invoice is built from the quote itself, so the numbers match.

A quote buried in an email attachment is easy to ignore. Each SolidInvoice quote has a link the client can open on their phone, and you can see which quotes are still waiting on an answer.

Quotes typed up in Word or exported as a PDF from a spreadsheet look different every time. Every SolidInvoice quote carries your logo and the same clean layout.

When a client asks what they agreed to, the answer is often in an old email thread. The accepted quote stays on file next to the invoice it became.

Everything You Need, Nothing You Don't

Branded quotes clients can open anywhere

Your logo, itemized lines, tax, and totals on every quote. The client gets a link to view it online or download the PDF.

    Accepted means invoiced

When the client says yes by reply or phone, mark the quote accepted. SolidInvoice creates a draft invoice with every line copied across.

    Nothing typed twice

Descriptions, quantities, rates, and tax carry over from the quote. Review the draft, adjust anything that changed on the job, and send it.

    Deposits, then the balance

Record a deposit against the converted invoice. The invoice's pay link then charges only the remaining balance by card or PayPal.

    1

    Build the quote

Add the client, your line items, and tax. Your logo goes on automatically. Your 14-day trial starts right away.

    2

Send it and get a yes

The client opens the quote from a link or the PDF and tells you they are in. You mark it accepted.

    3

    Invoice from the quote

SolidInvoice drafts the invoice from the accepted quote. Record any deposit, send it, and the client pays the rest online.

What to put on an estimate

A clear estimate wins the job and saves an argument at invoice time. Before you send one, check that it covers these six things.

    1. 1

      The scope, in plain words

Say what the job includes and what it leaves out. "Replace kitchen faucet, existing shutoff valves reused" prevents the later dispute over who pays for new valves.

    2. 2

      Itemized lines

Break labor, materials, and any fixed fees onto separate lines. An itemized quote is easier to say yes to, and each line carries straight over to the invoice.

    3. 3

      How long the price holds

Add a validity date, such as 30 days. Material prices move, and an expiry date gives you a clean reason to requote an old estimate.

    4. 4

      Deposit terms

If you need money up front for parts or booking, state the amount or percentage and when it is due. Electricians and contractors who order materials before the job should spell this out.

    5. 5

      Tax, shown separately

Show tax as its own line and apply it only where it belongs. Many US states tax materials but not labor.

    6. 6

      How to accept

Tell the client exactly how to say yes, for example "Reply to this email or call to accept." Once they do, mark the quote accepted and your invoice is ready to review.
