A move-out cleaning invoice the property manager can approve and pay

The base clean and each add-on get their own line, so nobody asks why the total went up. Supplies you resell carry sales tax; the cleaning labor does not.

Built for How Cleaning Businesses Actually Work

Stop rebuilding the same invoice for the Hendersons every other Friday. Set the client's schedule once and the invoice goes out after each visit.

Quote the post-construction clean or the move-out before you book it, then turn the approved quote into the invoice without retyping the add-ons.

Get paid by card or PayPal from the invoice link instead of collecting cash, chasing Venmo screenshots, or waiting on a check left on the counter.

Know which homes and offices owe you this month, so a client who skipped two payments doesn't get a third clean on credit.

Everything You Need, Nothing You Don't

    Recurring invoices for regular clients

Weekly, biweekly, or monthly. Set the amount and frequency per client and each invoice is created and sent on schedule.

    Office contracts billed monthly

Bill janitorial accounts one monthly invoice for the agreed scope, and add a line for extras like a carpet shampoo or a post-event cleanup.

    Card and PayPal payments

Connect Stripe or PayPal and every invoice carries a pay button. When a client pays, the invoice is marked paid.

    Automatic overdue reminders

On Pro and Business, late payers get a polite email reminder, which beats raising it at the door while you're holding a mop.

What to include on a cleaning invoice

Cleaning disputes usually come down to what was included in the price. A clear invoice answers that before the client asks. Cover these six things.

    1. 1

      Service address and visit date

Put the property address and the date of each clean on the invoice. Property managers and offices with several sites need it to match your bill to the right location.

    2. 2

      The base clean, named clearly

Write "Standard clean, 3 bed 2 bath" or "Weekly office clean, 4,000 sq ft" instead of "Cleaning services." A named scope is hard to argue with.

    3. 3

Each add-on on its own line

Inside oven, inside fridge, interior windows, laundry, baseboards. Listing them separately shows why this visit cost more than the usual one.

    4. 4

Billing period for recurring and contract clients

For monthly office contracts or bundled weekly cleans, state the period covered, such as "October 1 to 31, 4 visits," so the client's bookkeeper can reconcile it.

    5. 5

Sales tax only where your state requires it

Most states don't tax residential cleaning, but some tax commercial or janitorial services, and a few tax nearly all services. Check your state's rules and tax supplies you resell separately.

    6. 6

Due date, late fee policy, and a pay link

Say when payment is due, note any lockout or late fee terms you agreed to, and include a card or PayPal link so the client can pay the same day.
