How to create an invoice in 4 steps

Enter your business name, address, and contact details. Upload a logo if you have one. It stays in your browser.

    2. 2

Fill in who you are billing

Add the client's name and address, then set the invoice number, issue date, and due date.

    3. 3

List the work and set the tax

Add a line for each service or product with a quantity and rate. Mark the taxable lines and enter your tax rate.

    4. 4

Click Download PDF and choose "Save as PDF" in the print dialog. Email the file to your client or print it.

What to include on an invoice

Clients pay complete, clear invoices faster. Whatever you sell, check that every invoice covers these eight things before it goes out.

    1. 1

The word "Invoice" and a unique number

A sequential number such as INV-0001 makes each invoice easy to find when a client pays or asks a question.

    2. 2

      Your business details

Business name, address, email, and phone. Add a tax or registration number if your country requires one on invoices.

    3. 3

      Your client's details

The name and billing address of the person or company paying, as they want it on their records.

    4. 4

      Issue date and due date

The date you sent the invoice and the date payment is due. Without a due date, many clients treat an invoice as low priority.

    5. 5

An itemized list of the work

One line per service or product, with quantity, rate, and amount. Clients question a single lump sum far more often than itemized lines.

    6. 6

      Subtotal, tax, and total

Show tax as its own line and apply it only to taxable items. Many US states tax goods but not labor, so check your local rules.

    7. 7

      Payment terms

State terms such as due on receipt or net 30, plus any late fee policy you have agreed with the client.

    8. 8

      How to pay

Bank details, accepted payment methods, or a pay-online link. The fewer steps it takes to pay, the sooner the money arrives.

    Invoice generator vs invoicing software

The generator makes a one-off PDF. SolidInvoice sends the invoice, collects the payment, and keeps the records.

    Invoice generator FAQ

    Is this invoice generator free?

Yes. The invoice generator is free for as many invoices as you like. SolidInvoice, our invoicing software, is a paid product with a free trial, and you never need it to use the generator.

Do I need an account to create an invoice?

No signup needed. Fill in the form, download the PDF, and you are done.

Is my invoice data stored anywhere?

Your data stays in your browser. Nothing you type or upload is sent to our servers, and closing the tab clears it, so download your PDF before you leave.

    Can I add my logo?

Yes. Upload a PNG, JPG, or SVG in the "Your business" section. It appears on the preview and on the downloaded PDF. The file is read in your browser and never uploaded.

How do I get paid online for an invoice I made here?

A PDF cannot take payments by itself, so add your bank details or a payment link in the notes. SolidInvoice sends each invoice with a pay button for card and PayPal payments and marks it paid when the money arrives. Plans start at $9/mo with a 14-day free trial.

More on getting paid: net 30, due upon receipt, and payment terms explained.
