What to include on a landscaping invoice

Lawn care customers rarely see you do the work, so the invoice has to show it. These six items cut down on "what is this charge?" calls and get you paid sooner.

    1. 1

Service dates or the billing period

For maintenance accounts, name the month and the number of visits, such as "April, 4 mows." Rained-out weeks are easier to explain when the visit count is written down.

    2. 2

      The property address

Many customers own more than one lot, and property managers pay for dozens. Put the service address on every invoice, even when it matches the billing address.

    3. 3

      Materials with quantities and units

List mulch by the cubic yard, sod by the pallet or square foot, and plants by size and count. A line that says "materials, $640" invites a dispute.

    4. 4

Labor and one-time services on separate lines

Keep cleanups, aeration, overseeding, and installs apart from routine mowing so the customer can see what was extra this month.

    5. 5

Sales tax on the right lines

Most US states tax plants, mulch, and stone. Some also tax lawn mowing and maintenance, so check your state's rules and apply tax line by line.

    6. 6

Deposits received and the balance due

On hardscape and planting jobs, show the deposit already paid and the remaining balance, plus a due date and a pay-online link.

    Landscaping invoice template tips

How do I invoice a monthly mowing customer?

Bill the month on one invoice with the visit count as the quantity, as in the "Weekly mowing, April (4 visits)" line. The customer can match it against the visits they saw.

How should I list mulch, soil, and stone?

Use the unit you buy and sell in, such as cubic yards or bags, with a quantity and a per-unit price. Add "installed" to the description when the price includes labor, so the customer knows what they paid for.

    Is lawn care taxable?

It varies by state. Some states tax landscaping and lawn services, others tax only the materials. The example taxes the mulch and shrubs but not the labor, so adjust the taxable box on each line to match your state.
