What to include on a plumbing invoice

A clear invoice gets paid faster and heads off disputes about what the customer agreed to. Every plumbing invoice should cover these six things.

    1. 1

      Your business and license details

Business name, phone, address, and your plumbing license number if your state or region requires it on paperwork.

    2. 2

      The job address and date

Where and when the work happened. It matters for landlords and property managers who pay for several properties.

    3. 3

Labor and parts on separate lines

List hours and rate for labor, then each part or material. Customers question one lump sum far more often than an itemized bill.

    4. 4

      Call-out or trip fees

If you charge for after-hours or emergency visits, put the fee on its own line so it reads as agreed rather than added.

    5. 5

      Tax, shown correctly

Many US states tax parts but not labor. Apply tax to the lines that need it and show the total separately.

    6. 6

Payment terms and a way to pay

State when payment is due, such as due on receipt or net 15, and include a pay-online link so the customer can settle up immediately.

    Plumbing invoice template tips

Should a plumbing invoice charge tax on labor?

It depends on where you work. Many US states tax parts but not labor, which is why this template marks the labor and call-out lines as non-taxable. Check your state's rules and set the taxable box on each line to match.

How do I show an emergency or after-hours call-out fee?

Put it on its own line with a plain description, such as "Emergency call-out (after hours)". A separate line reads as an agreed fee instead of a padded total, and it is easier to explain if the customer asks.

Can I reuse this template for every job?

Yes. Change the customer, line items, and invoice number, then download a new PDF. The generator does not save invoices, so keep a copy of each PDF. SolidInvoice keeps every invoice and client on file and adds a pay-by-card link to each one.
