How to write a quote in 4 steps
- 1
Add your business details
Enter your business name, address, and contact details. Upload a logo if you have one. It stays in your browser.
- 2
Add the customer
Enter who the quote is for, then set the quote number, the date, and how long the price is valid.
- 3
Price the job
Add a line for each task, material, or product with a quantity and rate. Mark the taxable lines and enter your tax rate.
- 4
Download the PDF
Click Download PDF and choose "Save as PDF" in the print dialog. Email the quote to your customer or print it.
What to include on a quote
A clear quote gets a faster yes and fewer arguments when the invoice arrives. Check that every quote covers these seven things.
- 1
The word "Quote" and a unique number
A number such as QUO-0001 lets you and the customer refer to the same version when they accept or ask for changes.
- 2
Your business and the customer
Your business name and contact details, plus the name and address of the person you are quoting.
- 3
Date and how long the price holds
Material and labor costs change. A valid-until date, often 30 days, stops a customer from accepting a six-month-old price.
- 4
An itemized scope of work
One line per task or material, with quantity, rate, and amount. Customers assume anything missing from the quote is not included.
- 5
Subtotal, tax, and total
Show tax as its own line and apply it only to taxable items. Many US states tax materials but not labor, so check your local rules.
- 6
Deposit and payment terms
Say whether you need a deposit before work starts and when the balance is due, so the invoice holds no surprises.
- 7
How to accept
Tell the customer exactly how to say yes: reply to the email, sign and return the PDF, or approve it online.

Compare plansQuote generator FAQ
Is this quote generator free?
Yes. The quote generator is free for as many quotes as you like. SolidInvoice, our invoicing software, is a paid product with a free trial, and you never need it to use the generator.
What is the difference between a quote and an estimate?
A quote is usually a fixed price for a defined scope of work. An estimate is an approximate price that can change once the job starts. Many businesses use the words interchangeably, so state on the document whether the price is fixed.
Do I need an account to create a quote?
No signup needed. Fill in the form, download the PDF, and send it to your customer.
Is my quote data stored anywhere?
Your data stays in your browser. Nothing you type or upload is sent to our servers, and closing the tab clears it, so download your PDF before you leave.
How do I turn an accepted quote into an invoice?
With the generator, open the free invoice generator and enter the same lines again. In SolidInvoice, your customer approves the quote online and it becomes an invoice in one click, with a pay button for card and PayPal. Plans start at $9/mo with a 14-day free trial.
