What to include on a freelance invoice
Freelance clients range from one-person shops to companies with an accounts payable team. These six details keep your invoice from bouncing between inboxes.
- 1
Your name or business name and contact details
If you work under your own name, use it exactly as it appears on your tax records. Add a business email, and your tax or VAT number where your country requires one.
- 2
The project and the client's reference
Name the project and quote any purchase order or reference number the client gave you. Larger clients route invoices by PO number.
- 3
Work billed the way you agreed it
Bill hourly work as hours times your rate, and fixed-fee work as one line per milestone. Mixing the two on one line is where clients start asking questions.
- 4
Extra work on its own line
Revisions or requests outside the agreed scope go on separate lines, so the client sees what the original fee covered and what was added.
- 5
Deposits already paid
If the client paid a deposit up front, show it and the balance still due, so their records match yours.
- 6
Payment terms and how to pay
Give terms such as net 14 with an exact due date, and say how to pay. A card payment link saves the client setting up a bank transfer.
Freelance invoice template tips
Should freelancers charge sales tax?
It depends on where you and the client are and what you sell. Many US states don't tax services such as design or writing, but some tax digital products. The template starts at 0%. If your state taxes your work, set the rate and mark the taxable lines.
How do I show hourly and fixed-fee work on one invoice?
Use the quantity for hours and the rate for your hourly price. For a fixed fee, enter 1 as the quantity and the whole fee as the rate, like the brand style guide line in the example.
Where does the client's purchase order number go?
Add it next to the invoice number or in the notes, for example INV-0107 / PO 4471. Clients that issue POs usually need the number on the invoice before they can pay it.
